Booking Conditions
 

 

These terms and conditions apply to clients purchasing his/her service package directly at the EDEAQ, and not to clients booking and paying an EDEAQ service package through an agency.

 

The relationship between the Language School "Escuela de Español Ari Quipay" (EDEAQ) as organiser and service provider on the one side, and the client on the other, is subject to Peruvian law. The site of jurisdiction is Arequipa. The following conditions per contract apply:

 

 

1. Registration and Terms of Payment 

 

1.1. Registration for a course should be made by e-mail - only in case of urgency/emergency will a telephone (+51 54 27 25 17 or +51 54 956 82 17) or SMS (+41 79 352 21 52) registration be taken. Please use the electronic registration form (www.edeaq.com, page “Registration”). Registrations will be immediately (i.e. within 48 hours latest) acknowledged by the EDEAQ by e-mail (in case of urgency/emergency by telephone or SMS).

 

1.2. The EDEAQ does not require a pre-payment (deposit). Please be advised that the EDEAQ does not accept credit cards.

 

1.3. The package price is due on the day of arrival in Arequipa. Payments must be made in cash (USD or "Nuevos Soles" PEN). For cash payments in currencies other than USD, the corresponding Arequipa rate of exchange will be applied.

 

1.4. All payments are to be made to the Managing Directors of the EDEAQ, or to persons explicitly authorised by the Managing Directors. – Please note that damaged, stained, worn-out, crinkled, etc. banknotes (bills) will not be accepted.

 

1.5. If you prefer to pay the total package rate at one time by bank transfer, please let us know, and we will provide you with our bank account details. Payments can be made in all commercial currencies such as USD (US-Dollars), CHF (Swiss Francs), CAD (Canadian Dollars), € (Euro), GBP (British Pounds), etc. Please be informed that all bank charges (including those on our account) will be at your expense.

 

 

2. Cancellation Conditions

 

2.1. In the event that a course has to be cancelled by the EDEAQ at short notice and before the beginning of the course due to "force majeure" (wartime situations, riots, strikes, natural disasters, etc.) or for other unavoidable reasons, the EDEAQ reimburses the total of pre-payments made without deductions. Possible bank charges are the receiver’s responsibility. All demands for further compensation will be denied.

 

2.2. In the event that a course has to be cancelled by the EDEAQ due to "force majeure" (wartime situations, riots, strikes, natural disasters, etc.) or for other unavoidable reasons during the duration of the course, the EDEAQ will reimburse the total of all payments, minus the monetary equivalent of the services (i.e. classes, accommodations, etc.) effectively consumed by the student before the cancellation of the course. Possible bank charges are the receiver’s responsibility. All demands for further compensation will be denied.

 

2.3. In the event that a client terminates his/her course prematurely, a possible reimbursement cannot exceed the package costs already incurred by the EDEAQ. For a partial reimbursement a notice of at least three days is required.

 

2.4. Prior notice for course interruption must be given with a notice of three days. No reimbursement will be due without such notice.

 

2.5. Extension of a course and/or stay are, in principle, possible, but cannot be guaranteed under all circumstances. In particular, in the case of a home stay plan, a re-quartering can not be excluded. The EDEAQ, nevertheless, tries its utmost to fulfil the wishes of its clients in terms of possible extensions.

 

 

3. Services of the EDEAQ 

 

The services provided by the EDEAQ consist in:

3.1. Arrival Transfer.

Not applicable to "course only" clients.

3.2. Tuition, including didactic material (without dictionary).

3.3. Accommodations.

Not applicable to "course only" clients.

3.3.1. Homestay (Host Family)

or

3.3.2. **Hostel

or

3.3.3. ***Hostel

or

3.3.4. ***Hotel

3.4. Support and advice unrelated to the classroom, and touristic information.

 

3.1. Transfer

 

3.1.1. The package price includes the arrival transfer from Arequipa International Airport (AQP) to the host family or to the hostel/hotel on check-in day. Non-use of the transfer service does not entitle clients to a reimbursement. Hours of waiting due to late arrivals or delayed or missing luggage may result in an additional transfer surcharge to be paid directly to the EDEAQ. This surcharge will not exceed USD 10.00.

 

3.1.2. The EDEAQ will charge USD 10.00 for each extra drive to the Airport and back, as a result of missing luggage.

 

3.1.3. When arriving on check-in day by bus, the EDEAQ will reimburse the effective cost of the transfer (maximum: the equivalent of USD 3.50), and the EDEAQ will let the client know beforehand which taxi company he/she should take at the bus terminal to get safely to his/her host family or to his/her hostel/hotel.

 

3.2. Classes / Instruction

 

3.2.1. The Package Price includes the tuition fees, as well didactic material (without dictionary). It goes without saying that the client need to supply his/her own notebooks, pencils, etc.

 

3.2.2. The location of instruction are the premises of the EDEAQ in Arequipa. Courses may also be held - in the sense of practical outdoor exercises - outside the premises of the EDEAQ, provided that the student/a group of students so wishes.The EDEAQ can agree to this only if a) the school’s Managing Directors have been informed in advance and have given consent, and b) all of the involved students are willing to absorb all additional costs that may be caused by such an undertaking (whereby the amount of these additional costs will be set by the EDEAQ), and c) these additional costs are prepaid to the EDEAQ.

 

3.2.3. Courses are taught by an experienced and well-trained teaching staff. The quality of instruction measures itself in terms of what is customary and expected in the world of language schools in Latin America and Peru.

 

3.2.4. Class schedule is: 09.10 h - 10.05 h / 10.10 h - 11.05 h / 11.25 h - 12.20 h / 12.25 h - 13.20 h. This can be changed, provided that students and teaching and teaching staff come to a mutual agreement, but the beginning in the morning cannot be earlier than 08.00 h or not later than 09.20 h, and classes cannot end later than 13.30 h. – Afternoon lessons (Intensive Courses I and II) last 55 minutes as well and are scheduled upon mutual agreement between the student(s) and his/her/their teacher(s). – If circumstances make it necessary, classes will be scheduled in the afternoon as well, with the following schedule: 14.00 h - 14.55 h / 15.00 h - 15.55 h / 16.10 h - 17.05 h / 17.10 h - 18.05 h.

 

3.2.5. Students taking four lessons per day will usually work with two teachers (i.e. from 09.10 h to 11.05 h with teacher A and from 11.25 h to 13.20 h with teacher B), and when taking five or six lessons, possibly with three teachers (i.e. A, B and C). Teacher assignment to a student/group is determined solely by the school. The EDEAQ does its utmost to maintain stability on a weekly basis and will try to consider specific wishes.

 

3.2.6. Lessons falling on workdays (Monday through Friday) that happen to be public holidays in Peru/Arequipa are held, in accordance with what students may wish and what teachers may be able to deliver, a) either on that given day or b) after or before. In principle, there will be no cash refund.

3.2.7. Small group courses at a given performance level can not be guaranteed, in particular during low season. If no group (at least two class participants) can be formed at a given performance level, 13½ (Standard) or 16 (Intensive I) or 18½ (Intensive II) private lessons per week will be held (without price increase).

 

3.2.8. For missed lessons, including those missed due to reasons beyond the control of the client and/or the EDEAQ (such as illness of the client, accident of the client, etc.), the following rules apply:

3.2.8.1. Missed one-to-one lessons or Affinity Group lessons (provided that all participants of the Affinity Group miss classes): In principle, there will be no cash refund for missed lessons, but in the event that the EDEAQ is informed about the non-participation no later than at 07.30 h of the day in question, the missed lessons can be made up within four days, in accordance with what students may wish and what teachers may be able to deliver.


3.2.8.2. Missed small group and Affinity Group classes. the EDEAQ will apply a 50% charge of the corresponding cost for each missed lesson, unless the EDEAQ has been informed about the non-participation with at least 72 hours notice. - In principle, there will be no cash refund for missed lessons, but they can be made up within four days, in accordance with what students may wish and what teachers may be able to deliver.

 

3.2.9. Suggestions or complaints related to teaching or any other school related issue should be addressed to your teacher(s) or can be submitted to the Managing Directors of the school. Please let us know as soon as possible if you experience any difficulties in the classroom/in the school - please do not wait until the last day.

 

3.3. Accommodations

 

3.3.1. Homestay (Host Family). Accommodations (including breakfast) with an urban middle class host family in Arequipa in an adequately furnished single room or double/twin-bedded room for students travelling together, with bathroom/shower-WC. Half board (i.e. breakfast plus dinner) is possible; the additional charge is USD 3.50 per meal per person. The quality of the accommodation and the boarding is measured in terms of what is customary amongst the Arequipa middle class. – Normally, the EDEAQ student will be the only foreign language student in his/her host family. – Under standard conditions (depending upon course duration), students are hosted during 6, 13, 20, 27, etc. days, i.e. the package price always includes a number of consecutive family stay days divisible "through seven, minus one" (one week = 6 days, two weeks = 13 days, three weeks = 20 days, etc.). The charges for an additional day of accommodations are USD 11.00 (single room) or USD 9.00 (double room) per person/per day and are to be paid directly to the EDEAQ. – No reimbursement will be made for missed overnights or breakfasts due to the absence of the student or any other reason on the part of the student between the first and the last day of the accommodations. A minimum stay of three nights is required, i.e. the package price will include a minimum of three nights, regardless of whether the actual stay is one or two nights only.

3.3.2. Hostal Los Andes. Accommodations in the **Hostel Los Andes, including breakfast. Single room or double/twin-bedded room for two people travelling together, with bathroom/ shower-WC. In the event that accommodations in the "Hostal Los Andes" cannot be arranged, an equivalent hostel in Arequipa will be made available. – Under standard conditions (depending upon course duration), students are accommodated during 6, 13, 20, 27, etc. days, i.e. the package price always includes a number of consecutive days divisible "through seven, minus one" (one week = 6 days, two weeks = 13 days, three weeks = 20 days, etc.). The charges for one additional day are USD 11.80 (single room) or USD 10.70 (double/twin-bedded room) per person/per day and are to be paid directly to the EDEAQ. – No reimbursement will be made for missed overnights or breakfasts due to the absence of the client or any other reason on the part of the client, unless the following three conditions are met: a) the absence coincides with the final departure (i.e. the client terminates his/her course/stay prematurely), b) the client has duly checked out and returned the keys to the front desk, and c) the EDEAQ has been informed about the departure at least 72 hours prior to check-out. If these three conditions are met, a reimbursement may be possible, but not exceeding USD 11.80 (single room) or USD 10.70 (double/twin-bedded room) per person/per day. –  Please note that the charges for additional days and reimbursements may vary (+/- 5% approximately), because the rates of the Hostal Los Andes are quoted in Soles, not in USD.

3.3.3. Hostal Las Mercedes. Accommodations in the ***Hostel Las Mercedes, including break-fast. Single room or double/twin-bedded room for two people travelling together, with bathroom/shower-WC. In the event that accommodations in the Hostal Las Mercedes cannot be arranged, an equivalent hostel in Arequipa will be made available. – Under standard conditions (depending upon course duration), students are accommodated during 6, 13, 20, 27, etc. days, i.e. the package price always includes a number of consecutive days divisible "through seven, minus one" (one week = 6 days, two weeks = 13 days, three weeks = 20 days, etc.). The charges for one additional day are USD 16.00 (single room) or USD 12.00 (double/twin-bedded room) per person/per day and are to be paid directly to the EDEAQ. – No reimbursement will be made for missed overnights or breakfasts due to the absence of the client or any other reason on the part of the client, unless the following three conditions are met: a) the absence coincides with the final departure (i.e. the client terminates his/her course/stay prematurely), b) the client has duly checked out and returned the keys to the front desk, and c) the EDEAQ has been informed about the departure at least 72 hours prior to check-out. If these three conditions are met, a reimbursement may be possible, but not exceeding USD 16.00 (single room) or USD 12.00 (double/twin-bedded room) per person/per day.

3.3.4. Hotel Tierra Sur. Accommodations in the ***Hotel Tierra Sur, including breakfast. Single room or double/twin-bedded room for two people travelling together, with bathroom/shower-WC. In the event that accommodations in the Hotel Tierra Sur cannot be arranged, an equivalent hostel in Arequipa will be made available. – Under standard conditions (depending upon course duration), students are accommodated during 6, 13, 20, 27, etc. days, i.e. the package price always includes a number of consecutive days divisible "through seven, minus one" (one week = 6 days, two weeks = 13 days, three weeks = 20 days, etc.). The charges for one additional day are USD 32.00 (single room) or USD 22.00 (double/twin-bedded room) per person/per day and are to be paid directly to the EDEAQ. – No reimbursement will be made for missed overnights or breakfasts due to the absence of the client or any other reason on the part of the client, unless the following three conditions are met: a) the absence coincides with the final departure (i.e. the client terminates his/her course/stay prematurely), b) the client has duly checked out and returned the keys to the front desk, and c) the EDEAQ has been informed about the departure at least 72 hours prior to check-out. If these three conditions are met, a reimbursement may be possible, but not exceeding USD 32.00 (single room) or USD 22.00 (double/twin-bedded room) per person/per day.

 

3.4. Support unrelated to the classroom and touristic information

 

3.4.1. The EDEAQ strives to be as helpful as possible with its customers with regard to the efficient organisation of an interesting stay in Peru. Nevertheless, the type and range of this assistance as well as the amount and flow of information may be limited, and the principle of reasonableness will be applied, i.e. the assistance of the EDEAQ cannot replace the responsibility and the initiative of the client.

 

3.4.2. The EDEAQ is a Spanish Language school and does not have a Tour Operating Licence and therefore lacks the corresponding insurance coverage. For that reason, the EDEAQ does not organise tours or excursions. But the EDEAQ is, of course, in a position to provide you with information about reliable tour operators, guides, service providers, etc. and to establish pertinent contacts. The same goes for yoga, dancing or cooking classes, etc.

 

3.4.3. The services the EDEAQ can provide are listed in the page “At a Glance (Summary Page)”, subtitle “Culture, Leisure, Sports, Travel, Car Rental”.

 

3.4.4. Support unrelated to the classroom and touristic information terminates in principle with the end of EDEAQ's services such as classes and/or accommodations.

 

 

4. Final Clauses

 

4.1. Clients are solely responsible for the formal aspects of their journey to and from Peru, as well as during their stay in the country (travel documents such as passports, visas [if necessary], tickets, etc.).

 

4.2. Clients are solely responsible for their insurance coverage (illness/accident, return journey, cancellation, etc.).

 

4.3. Clients are solely responsible for their health status (including vaccinations).

 

4.4. The EDEAQ does its utmost to provide a well-organised, interesting, and instructive stay in Arequipa for its students. Apart from the aforementioned principles of what is customary in the world of language schools in Latin America and Peru, the EDEAQ itself is firmly committed to dealing fairly and respectfully with its clients.

 

 

These terms and conditions (“Booking Conditions”) come into effect from

01 December 2009 and replace all previous terms and conditions.
